How to report on job time

The job time report shows the hours your team has logged against jobs, grouped by period and broken down by staff member. It is the fastest way to see where time is going and how much of it is billable. Here is how to run it.

  1. Open the Job Time Entry report

    From the CRMit menu on the left, open Reports and choose Job Time Entry. The report opens with a summary of the time logged for the current range.

  2. Choose the period, staff or job

    Set the filters at the top of the report to focus on what you need:

    • Pick a frequency of daily, weekly or monthly to group the results.
    • Set the start date and end date for the period you want.
    • Narrow the results to a single staff member if you only need one person's time.
  3. Run the report

    Click Run Report. The summary updates to show the number of entries, the total time and the billable time for the range you chose. Expand a period to drill into the staff and their individual entries.

  4. Review billable versus non-billable time

    Each period and staff member shows total time alongside billable time. Compare the two to see how much of the logged time can be invoiced and how much cannot.

  5. Export the report

    Once you have the view you need, save or export a copy to use for invoicing and payroll, or to keep alongside your other records.

Tip: Keep an eye on non-billable time. A rising amount can quietly eat into your margins, so it is worth understanding what is behind it.
