How to convert a quote to an invoice

When a customer accepts a quote, you do not need to build the invoice again from scratch. CRMit can turn the accepted quote into an invoice in one step, carrying the line items across so nothing is missed. Here is how to do it.

  1. Open Quotes

    From the CRMit menu on the left, select Quotes. This opens the list of all your quotes.

  2. Open the accepted quote

    Find the quote your customer has accepted, using search or the filters if you have a long list, then open the record.

  3. Check the line items are right

    Look over the line items, quantities, prices and VAT before you convert. Anything on the quote will carry across to the invoice, so it pays to get it right here first.

  4. Convert the quote to an invoice

    Choose the option to convert the quote to an invoice. CRMit creates a new invoice for the same customer, pre-filled with the quote's line items.

  5. Review the new invoice

    Check the new invoice over. Confirm the customer, the line items and the dates, and set the due date and payment terms if they need changing.

  6. Save and send it

    Click Save, then send the invoice to your customer. From here it works like any other invoice, so you can record payment against it once you are paid.

Tip: Convert a quote as soon as it is accepted so nothing slips through the cracks. The sooner the invoice goes out, the sooner you get paid.
